Your privacy is important and we know it. Thus we only store the smallest amount of personal data we have to and do everything in our power to keep it secure.
What data we collect and why
Registration Data: When you register for an account, we ask you to provide certain information such as first and last name, email address, postal address, and phone number, as well as a password.
This registration data is used to create your account and to communicate with you via system notifications, changes made to Forefront, or other communications that relate to your account such as customer support conversations.
Payment Information: If you choose to subscribe to a paid version of Forefront you will be asked to provide your credit card number, security code, name on card, and zipcode.
This payment information will be stored securely with Stripe and used to continue to charge you on a recurring basis as agreed to by you when you sign up or make subscription changes.
Usage Data: We collect and store data about how you and others use Forefront, such as when and how you create records.
This usage data is used by us to determine what features are being used by you and others. This data will be used in our decision process when we are choosing the next feature to build, what features to improve, as well as help decide what features to promote.
Demographic Data: At various times during your interaction with us you may provide us information such as main exit strategies, number of deals done, target market data, etc. This may be received in-app, via email and phone conversations, or through third parties acting on our behalf. This data will always be optional.
This is data will be used by us to help promote and market Forefront by better understanding the needs of our users. It is also used in our decision process when we are choosing the next feature to build.
Location and Device Information:We collect the IP address you use to connect to Forefront as well as the number and types of devices you use to access Forefront.
This information is used in our authentication process to ensure that your account access is secure. It may also be used in our error reporting software to aid us in correcting errors in Forefront.
Log Data: As with most websites and technology services delivered over the internet, our servers automatically collect and store information. This data may include IP addresses, the address of the web page visited before using Forefront, browser type and settings, the date and time Forefront was used, information about browser configuration and plugins, language preferences, and cookie data.
This data is used to help us monitor server health and aid in correcting errors that may arise in the software.
Cookies and how we use them: Our website uses cookies. A cookie is a file containing an identifier that is sent from our server to your browser and is stored by the browser. The identifier is then sent back to the server each time the browser requests a page of our website from the server. Cookies may be either “persistent” cookies or “session” cookies: a persistent cookie will be stored by a web browser and will remain valid until its set expiry date, unless deleted by the user before the expiry date; a session cookie, on the other hand, will expire at the end of the user session, when the web browser is closed.
Cookies don’t typically contain information that personally identifies you, but personal information that we store about you may be linked to the information stored in and obtained from cookies.
We may also use cookies for purposes of personalizing your experience on our website, or for providing online behavioral advertising such a retargeting or remarketing. These uses provide you with additional opportunities to take advantage of our services or products and provide us with additional opportunities to reach you with personalized offers more tailored to your interests. Advertisers and partners may also use their own cookies (e.g. on their own sites). Forefront does not control any third party’s use of such cookies and we expressly disclaim responsibility for information collected by or through them.
Who we share your data with
We do have to share your data with other companies that help us run our business by processing the above data and information on our behalf for the purposes explained above. These companies include providers of customer support services, payment processing services, server monitoring, and error tracking, email, social media, and other marketing platforms and hosting services.
How long we keep your data
Registration Data, Payment Information, Usage Data, and Demographic data are kept for the life of your account with us and for 90 days after you close your account. We keep this collection of data for 90 days in the event that you wish to restore your Forefront account or need to export your data to facilitate the move to another service. If you wish you can contact us and request that we immediately delete your data after your account is closed. Be aware that canceling your subscription is not the same thing as closing your account and will not result in the deletion of your data.
Location and Device Information, as well as Log Data, is typically stored for up to one year from the time the data is created but may be shorter depending on the specific type of information. This type of data is used by us for monitoring and troubleshooting and will not be deleted when you close your account. However, this data will only reference your account via an account id and once your personal data is removed it can no longer be used to identify you specifically.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
How we integrate with third-party software
If you choose to connect your Forefront account with our available third party integrations then we will store extra data that allows us to maintain those integrations as well as data we may receive from those integrations. We do limit the amount of information we store to only what is necessary to facilitate the integration functionality. Types of information we will always store include API keys, account or user ids, and/or tokens used to maintain authorization with the third party. Below you will find details about the data we store and how we use each integration.
Google Calendar Integration
This integration is used so we can create Google Calendar events for you when you create an appointment in Forefront. We then provide you a link so you can get to the event from Forefront. Finally, if you delete an appointment inside Forefront we will delete the event in your Google Calendar
- Access token: Used to access the Google Calendar you integrated. This integration may be revoked by you inside Forefront at anytime
- Refresh token: Used to get new access tokens when they expire in order to maintain access to your Google Calendar
- Calendar Id: Used to add appointments to the calendar you’ve chosen to integrate
- Event Ids: For every appointment, you create in Forefront we will store the Google Calendar event id so we provide a link to the event and delete the event.
Gmail Integration
We integrate with Gmail so you can send emails out through our Follow Up Sequences. These emails will not be stored in Forefront and after the email is sent we will not keep a record of any data related to your emails other than a copy of the subject and message body that was sent.
- Access token: Used to access the Gmail account you integrated. This integration may be revoked by you inside Forefront at anytime
- Refresh token: Used to get new access tokens when they expire in order to maintain access to your Gmail account
- Gmail Email Address: We will store the email address that you have chosen to send emails out from
CallRail Integration
This is integration allows you to initiate calls and send texts from inside Forefront and see communication logs for the time CallRail and Forefront are integrated.
- API key: Used to access your CallRail account. This integration may be revoked by you inside Forefront at anytime
- Account Id: Used to maintain access to the right account inside CallRail
- Company Id: Used to access the right company in your account in case you have multiple companies
- Account Name: Displayed in Forefront
- Company Name: Displayed in Forefront
- Tracking Numbers and Ids: We import all your tracking numbers into Forefront so you can use them to initiate calls and send texts, we also attach them to your comm log so we can display your calls and texts inside Forefront.
- Communication Payload: We store the communication data that CallRail provides to us via their webhooks. This data is different for each type of webhook and may be changed by Callrail, for full details visit their api docs, here.
Additional information
How we protect your data
We implement and continue to update strict safeguard features such as using SSL to transmit data, requiring ssh keys to access all servers, limiting access to servers and databases to only approved IP addresses. We also have policies and procedures in place to ensure that our employees, contractors, and agents only have access to the information they need and that they respect and protect your privacy.
Do not track signals
While some internet browsers offer a “do not track” or “DNT” option that lets you tell websites that you do not want to be tracked online, these features are not yet uniform and there is no common standard. Therefore, we can not commit to always responding to the browsers “DNT” signal. We do take your choice to not be tracked seriously and will make efforts to continue to monitor developments around DNT browser technology and implementation of a standard.
Children under 18
Forefront is not designed for and is not marketed to people under the age of 18. We do not knowingly collect or ask for information from minors. We do not knowingly allow minors to use Forefront. If you are a minor, please do not use Forefront or send us your information. We will delete information that we learn is collected from a minor without verified parental consent.
Business transfers
If we decide to sell Forefront your data and information is generally considered on of the transferred business assets but it will remain subject to any pre-existing privacy policy. If the new owner decides to change the privacy policy it will notify you ahead of time and outline your choices in that event.
Changes to this policy
We may update this policy from time to time. In the event that we make changes, we will notify you of said changes via the email address on your account as well as other methods we deem appropriate. Your continued use of Forefront constitutes your agreement to the updated Privacy Policy on a prospective basis.
